Engineering license tracker: PE license management for multi-state firms

Multi-state PE license tracking: what it involves

One engineer licensed in four states has four expiration dates, four CE periods and often four sets of required topics. Multiply that by the roster, add the firm’s own registrations, and the job gets big quickly:

• Dates that don’t line up. In 16 of the 51 jurisdictions in our data, the PE expiration depends on the person (birth month, issue date, last name or license number), not one statewide date.
• CE rules that differ. 29 jurisdictions ask for 30 PDH every two years; others ask for 24, 20, 18 or 16 every two years, 15 a year or 36 every three years, and 8 ask for none. 21 require ethics hours.
• Firm registrations. 37 jurisdictions expect the firm itself to hold a certificate of authorization or firm registration, usually tied to a named engineer.
• Comity in progress. Filed isn’t issued. Until the board issues the license, that engineer can’t seal in that state.

What to look for in PE license management software

1. It starts from your spreadsheet. Re-typing a roster is where errors start. Import should read the file you have and show every change before it saves.
2. It knows each state’s CE rule. A total isn’t enough. It should count required topics like ethics per state, and say plainly what it can’t count.
3. It tracks the firm, not just people. Firm COAs need their own dates and the engineers they depend on.
4. It answers the sealing question. Who can seal this sheet, in this state, on this date, for this firm.
5. It’s honest about its rules. State rules change. The software should show its source and whether the rule has been confirmed.
