Tracking employee licenses across a firm

At a design firm, employee license tracking is really three lists that depend on each other:

• People and their licenses. PE, SE and architect licenses, plus landscape architects, land surveyors and interior designers, each with every state they hold a license in.
• CE for each license. Hours and required topics per state, which differ widely: 29 of the 51 jurisdictions in our data ask engineers for 30 PDH every two years, and 8 ask for none.
• The firm’s own registrations. 37 jurisdictions expect an engineering firm to hold a certificate of authorization or firm registration, usually tied to a named licensed person.

When someone leaves, all three change at once. SealBench shows every sheet, license and firm registration that would lose its only eligible sealer or qualifier.

What SealBench tracks

• Renewals: every license and firm registration in one list, soonest expiration first. Mark one renewed in one step; the history shows who did it and when.

• Set Check: Set Check takes one permit set in one state and gives each sheet a suggested sealer, or the reason nobody on your roster can seal it: a license in the project’s state, the right discipline, a license still active on the issue date, and the firm’s COA. Architectural sheets need an architect. The answer is saved as a dated PDF record.
• Import: Bring the license spreadsheet you already keep, as it is. SealBench finds the header row under title rows, reads two-row headers and merged cells, and understands one row per license, a column per state, or a tab per state or per person. Every row is saved, held for a look with the reason, or skipped with the reason, and nothing is saved until you review the changes and confirm. • Renewal reminders: Reminders at 90, 60 and 30 days before each license, firm registration and CE deadline are coming soon.
• Private by firm: each firm’s roster sits in its own workspace, and every import, check and change is logged with who did it and when.

State rules are held for engineers and architects only. Landscape architects, land surveyors and interior designers get date tracking, and SealBench says plainly that it has no state rules for them yet. SealBench never files, renews or reports CE for you.

What it costs

One license is free. Pro is $5 a month for one person and every license they hold. A firm pays $12 a month for each licensed person it tracks (or $120 a year), billed for at least 3; office staff who aren’t licensed sign in free.
